Who we are and when this policy applies

The Institute of Solomon Islands Accountants (ISIA) operates isia.org.sb from Honiara, Solomon Islands. This policy explains how we handle information when you use our website, apply for or renew membership or registration, book an event, take a course, subscribe to communications or contact us.

Information we collect

  • Account and contact details, including your name, email address, telephone number, addresses, date of birth where required, and account credentials. Passwords are stored as protected hashes.
  • Membership and professional-registration information, including qualifications, employment, professional standing, referees, declarations, supporting documents, engagement details and application decisions.
  • Invoices, payment references, payment evidence, receipts, refunds and the services connected with a payment.
  • Event registrations and attendance, course enrolments, progress, assessment responses and results, certificates and messages or posts you submit.
  • Subscription choices, support correspondence, and technical records such as IP addresses, browser information, login/security activity and website interactions.

Please provide accurate information and only documents needed for the requested service. Tell a referee or other person before giving us their details, and ensure you are entitled to share them. Do not send passwords, card security codes or one-time banking codes in a form, upload or email.

How we use information

We use information to administer accounts; assess applications and professional eligibility; verify information with relevant referees, institutions or professional bodies; maintain membership and registration records; deliver events and learning; manage invoices and payments; answer enquiries; and investigate misuse or security incidents. We also use limited readership information to understand which website content is useful.

We send service messages needed for your account, applications, bookings and payments. Newsletter and optional communication choices can be changed using the unsubscribe or preference links provided. Unsubscribing from a newsletter does not stop essential service or security messages.

Public information and community content

Our public registers and verification pages show selected membership, professional-registration or certificate information so people can check status. They are separate from the private application file. Forum contributions and other content you choose to share are visible to the audience of that feature. Please do not place confidential client or personal information in community posts.

Cookies and readership measurement

We use a session cookie to maintain sign-in and protect requests. News pages may use a first-party readership identifier, including the ISIA_NEWS_READER cookie for up to 90 days, to measure visits, reading activity and link interactions. Readership measurement excludes requests carrying supported Do Not Track or Global Privacy Control signals. Security and operational logging remain necessary even when readership measurement is disabled. You may control cookies in your browser; blocking essential cookies can prevent sign-in and other functions.

Who may receive information

Access is limited according to responsibilities, including authorised Secretariat staff, reviewers, relevant committees, event or course personnel and technical support. We may share information needed to verify an application, deliver a requested service, resolve a payment, comply with a lawful requirement or protect people and systems.

We use service providers for hosting, file storage, content delivery and email, including Amazon Web Services. Where a hosted bank payment option is offered, payment details are handled through the bank or payment provider according to that service's notice. We do not ask you to submit a full card number, card security code or banking password into an ISIA application form. Our payment records contain the information needed to identify and reconcile a transaction.

Selected staff authoring tools can send material supplied to them to an AI service to help prepare or review content. Staff must avoid unnecessary personal or confidential information. Application and professional-registration decisions remain subject to the Institute's human review processes.

Overseas processing, security and retention

Our technology providers may store or process information outside Solomon Islands. We use access controls, encrypted website connections, monitoring and operational safeguards appropriate to the service. No internet service can promise absolute security.

We keep information for as long as reasonably needed for the service, professional records, financial/accountability requirements, complaints, security or another applicable legal obligation. Different records may need different retention periods. A closure or deletion request does not necessarily require removal of statutory register entries, financial records or evidence that must be retained. Backups and security records have separate retention arrangements.

Your requests and concerns

You may ask us what information we hold about you, request a correction, change optional communication choices, or request account closure or deletion where appropriate. We may verify your identity and explain any information that must be retained or cannot be disclosed. These requests do not require you to send a password or full payment-card details.

For office visits, check our current contact details. Contact secretariat@isia.org.sb or telephone +677 20131. Membership enquiries may also be sent to membership@isia.org.sb. If a concern is unresolved, ask for it to be escalated to the Chief Executive Officer or the Institute's authorised representative. This policy does not limit rights or remedies available under applicable law.

Changes

We will identify the effective date of an approved published policy and explain material changes where appropriate. A later policy does not retrospectively remove rights associated with an earlier transaction.
